About meetings

This Notion Setup has been designed to reduce that amount of time wasted in meetings. Sometimes meetings can be avoided by using the Comms table at the top of the page you’re concerned about. Other meetings can be avoided by using the many views that show what is going on with Tasks, Projects, Businesses, etc. If you’re asked for information in a meeting, like what stage is a project up to, or what has been done in a task so far, please kindly show them how they can see that information for themselves in this Notion Setup.

Other meetings require collaboration and many people need to be able to offer and review opinions and information. Often the meeting page can resolve all of the issues that a meeting was for, before the meeting even happens. If this occurs, cancel the meeting to thank everyone for being so proactive. To make resolving meetings before they happen more likely, list out your agenda items clearly, and in a way that encourages the responses that are required.

Creating a meeting

  1. Every meeting you create or are invited to must have a Meeting task card. This ensures it can be prepared for, communicated about, capture all outcomes, and be referred back to.
  2. Create the meeting in the project that the meeting is about by select the view “My meetings”.
  3. The meeting name should be identical to the name of the meeting in the calendar so that it can be found by searching in either the calendar, or in Notion. The meeting name ends with the date of the meeting. By default it is “@today”. Click on it to select the meeting date.

<aside> ⚠️ Avoid clicking on the “New” button at the top-right of views. This is for tasks and everything else. Clicking it fails to set the properties required for it to show up in the view.

At the bottom of the meeting view where you’d like the meeting to appear, click on “+ New”

<aside> 💡 If the page template for the new meeting doesn’t load…

If after waiting a moment then refreshing your browser, it still shows a nearly blank page with option “New meeting” on it, click on “New meeting”

If after waiting a moment, it looks like a blank page, box-select from the bottom up and you might find an empty block is highlighted. Press “delete” to make “New meeting” appear.
