Doing a task

  1. As soon as you open a task page, start your time logger. See Using the time logger
  2. If the icon for the task is an orange dot, this indicates that the instructions have not been completed yet, or something else is missing. It is not ready to start. Check with the project owner to resolve this.
  3. Everything that you need to complete a task should be included on the task page. If it is not, or you’re not sure, always ask for it.
  4. Always read and understand the instructions before starting. If there aren’t any instructions, or you need to know more, always ask.
  5. Use the Comms table in the task to communicate about the task. This keeps the Task page clean, and makes it easy to find conversations. See Using Communications
  6. Add your working file to Files as soon as possible, using the “Draft files” view. This ensures that others can complete the task if you become unavailable. See Working with Files
  7. Step through each item in the checklist
    1. Each check list item should include “n days before due”

      This is to be used to update “Next update” as each item is checked off. If it is missing, ask for it.

    2. All items are to be checked off as they are done. Do not batch at the end.

    3. After a checklist item is checked off, update the “Next update” date based on the next checklist item that needs completing.

      • Note the “Due” date for the task, then click on “Next update” and count weekdays back the “number of days before due” to select a date.

    4. If the current checklist item is “Client review” or similar, the person managing this review will create a subtask “Get client review” or similar. This will set the current task as “Waiting” until the subtask has been completed. “Next update” will be the date the client is required to finish reviewing by. See ‣

    5. If the checklist item is “Review:” Change the task status to “Review”

    6. Once all checklist items have been completed:

      1. If there is no reviewer listed under “Reviewers”, and you are sure the task doesn’t require reviewing, change the task status to “Completed”
      2. Otherwise change the task status to “For review”
  8. If there is something preventing you from continuing with a task, create a sub-task, even if it is just a request for the project manager to resolve an issue. Assign the sub-task and set a due date. See ‣
  9. Before leaving a task at any point, click a “Stop timer” button above the time logger.
