Managing information effectively is one of the foundations for success. Information should be easy to store correctly, easy to link or share, easy to find when it is required, and dependably be the single source of truth. Most file storage solutions don’t make all of this easy, and often make it hard to tag files with information. File storage structures are also typically folder based. So if you have a photo of Christmas at the beach, you have to decide if it goes in the “Christmas” folder, or the “Beach” folder.
Files in your Notion Setup are managed with tags and relationships. You can tag a photo as both “Christmas” and “Beach” then see it in both. Files in Notion can be either embedded in Notion, or linked to your own cloud storage. There are many advantages to linking to cloud storage including managing access, sharing externally, and using the one Notion page for the File, but always linking to the correct version in cloud storage.

Once you find the file you’re after, copy the link to it and add it to the page where it is required.

Go to the page that you want to see the file in and find the “Files” property. You might need to open extra properties to see it.
If the Files property is empty you can click in it. Otherwise, to add another file, click on the “+” to the right of any existing file.
Paste the URL of the Notion file page that you copied where you’d search for the file name. This will refine it to just the file you’re after.

Often the file created in one task will be used as a resource in the next task. Or a purchase order for a business also needs to be attached to the project. While in that file, it is easy to attach it to something else. Once you do this, it will appear in the Files views on that page as well.
